Getting started

The first step is booking an AI Opportunity Audit — a 2-week fixed engagement at $3,000 that maps your processes, identifies where AI fits, and delivers a prioritised build roadmap with fixed-fee estimates for each opportunity. If you already have a clearly defined scope, you can skip the Audit and go directly to a Sprint proposal. Contact us and describe your situation — we will tell you which path makes sense.

No. That is what the Audit is for. Most clients come to us knowing they have a process problem and a rough sense that AI might help — but not knowing exactly what to build, in what order, or what it will cost. The Audit answers all of those questions.

We typically have a 1–3 week lead time before a new Audit can begin, depending on current project load. Implementation Sprints are usually scheduled 2–4 weeks after the Audit completes. If your timeline is urgent, tell us in your enquiry — we will be upfront about whether we can meet it.

Costs and pricing

The Audit is a fixed fee of $3,000. This covers two weeks of structured discovery, stakeholder interviews, process mapping, AI fit assessment, and the written deliverable — a prioritised roadmap with implementation estimates for each opportunity. There are no overages and no hourly tracking.

Implementation costs vary significantly depending on scope and complexity. Our Implementation Sprints start from $10,000 for well-defined, straightforward systems. More complex bespoke builds — multi-system integrations, large RAG pipelines, multi-agent architectures — typically range from $50,000 to $300,000+. The Audit establishes scope and produces fixed-fee estimates for each opportunity before any build decision is made.

Our published pricing is in USD. For UK clients, we work in USD or GBP depending on your preference — contact us and we will confirm the GBP equivalent at engagement stage.

Not in our fees — the price agreed at the start is the price you pay. However, there are costs outside our fees that you should budget for: cloud infrastructure (hosting, compute, and API costs, which vary by usage volume), and your team's internal time during discovery (we need access to operational leads — this is not billed by us but is a real cost). We provide estimates for all of these at scoping.

The Optimisation Retainer starts at $2,000/month, with no minimum term — you can cancel month-to-month. The retainer scope is defined monthly based on your system's performance and priorities.

Our process

Week 1 focuses on discovery — structured interviews with your operational leads, process mapping of 3–6 candidate workflows, and assessment of your data availability and quality. Week 2 focuses on analysis and prioritisation — we score each opportunity by impact and feasibility, build the recommended sequencing, and produce fixed-fee estimates. You receive a written deliverable at the end, presented live in a working session.

A written report — typically 15–25 pages — covering: a map of the processes we assessed, an AI fit assessment for each opportunity (including ones that won't work), a prioritised roadmap of 3–7 recommended AI projects, and a fixed-fee implementation estimate for each. The document is yours to keep and use however you wish — there is no obligation to proceed with Mason Bedford.

Sprints typically run 4–12 weeks depending on complexity. A single, well-defined workflow integration usually takes 4–6 weeks. Multi-system integrations or more complex architectures typically take 8–12 weeks. The timeline is agreed and fixed at the start of the Sprint.

Every system we build is delivered with: full source code (yours, no licensing fees), technical documentation covering architecture, dependencies, and operational runbook, a handover session with your team, and — if applicable — monitoring dashboards and alerting configured. We design every project so your team can operate, troubleshoot, and extend the system without us.

Technical questions

We are model-agnostic and select based on the requirements of each project. We work with Anthropic (Claude), OpenAI (GPT-4o, o3), Google (Gemini), and open-source and self-hosted models. For most business applications, we recommend Claude or GPT-4o — but the right choice depends on your specific latency, cost, accuracy, and data privacy requirements.

We build to integrate with your existing stack wherever possible. Most integrations connect to your existing systems via API — we do not require you to replace your CRM, ERP, or other core tools. If specific infrastructure is needed (a vector database for a RAG system, for example), we select and deploy the right option and include it in the implementation estimate.

You own everything — all source code, documentation, trained prompts, and any fine-tuned model components are transferred to you at handoff. We do not retain licensing rights, we do not require ongoing access, and we do not use your systems or data for any purpose beyond the engagement.

We offer the Optimisation Retainer ($2,000/month, cancel anytime) for ongoing performance monitoring, prompt tuning, and iterative improvement. Outside the retainer, we offer ad hoc support for bugs and critical issues in the first 30 days post-handoff at no additional charge.

UK-specific questions

Yes. We work with businesses across the UK and the United States. Our team operates remotely and we have worked with clients across London, Manchester, Edinburgh, and other UK cities. Most engagement activity (discovery calls, build, review) is done remotely; for clients who prefer in-person, we can arrange this for key discovery sessions.

UK GDPR compliance is a design constraint, not an afterthought. Before any data is shared with us, we agree a Data Processing Agreement covering what data we access, how it is stored, who processes it, and how it is deleted post-engagement. For systems that process personal data, we design data minimisation and access control in from the start. We also ensure that sub-processors — including AI model providers — are covered under appropriate DPAs.

It may. If your business has EU operations, EU customers, or deploys AI systems used by EU users, you may be in scope. We assess EU AI Act applicability as part of our discovery process for any implementation project. See our article on the EU AI Act and UK businesses for a detailed overview.

Yes — and regulatory awareness is built into how we design every system in regulated sectors. For financial services, we design with FCA Consumer Duty, SR 11/7 model risk management, and UK GDPR in mind. For legal, we address SRA guidance on AI, privilege obligations, and attorney-client confidentiality. Three ways. First, the people advising you are the people building — we do not separate strategy and implementation. Second, we are fixed-fee rather than time-and-materials — you know the cost before work begins. Third, we measure success by working systems in production, not by documents delivered or hours billed.

As a firm, we offer institutional accountability, PI insurance, a consistent quality process, and no IR35 complications for UK clients. A freelancer is an individual — if they are unavailable, the project stops. We also provide strategic advisory as part of every engagement, not just execution to a brief.

Yes. We sign mutual NDAs before any discovery work begins. Our standard NDA covers both parties. We also sign Data Processing Agreements for any engagement involving personal data.
